HR Administrator

We are looking for a HR Administrator for a fixed term contract, offering 25 hours per week with the prospect of this developing into a permanent role. The ideal candidate will be organised with highly developed communication and interpersonal skill who’s motivated to support the HR needs of an exciting growth stage company. Therefore, the primary responsibilities will be to support Bink’s recruitment functionality.

Specific Duties

Recruitment Duties: 

  • Manage the recruitment administration
  • Liaise with recruitment agents within our PSL to co-ordinate candidates
  • Ensure compliant adverts are placed consistently within the Bink Brand
  • Communicate with all direct candidates providing efficient feedback
  • Facilitate interview preparation

 

HR Duties: 

  • First line support for Bink Staff offering guidance on policies and procedures
  • Deal with telephone, email and postal queries within 24 hours
  • Log all calls and email communication on a daily basis
  • Manage all general HR administration
  • Assist the Head of HR with the preparation of offer letters and contracts of employment
  • Maintain the personnel file audit reporting a follow up all other associated new starter paperwork including training, DBS applications, proof of right to work, personnel file set up, etc. Ensuring all personal data is correctly filed and stored; close, store and archive leavers’ files etc
  • Ensure appropriate security for all HR or employee related data, with strict observance of departmental confidentiality and data protection in line with GDPR
  • Request references (manually or through Safe Screening) for all new employees ensuring follow up and any concerns raised with the Head of HR and line management
  • Reply to references using the standard format
  • Manage the report montly of birthdays and staff celebrations
  • Prepare ‘change of details’ administration and letters for the Head of HR and associated paperwork including salary, bonus, promotion letters and general correspondence in line with role entitlement
  • Administration of the long/short-term sickness absence, supporting with any occupational health appointments and providing referral documents to the Head of HR when reports are received to discuss the way forward
  • Ensure monthly HR recharges are submitted to Accounts within specific timeframes
  • Undertake small projects as requested by the Head of HR in relation to creating more efficiencies in the HR team and general HR administration
  • Liaise with the Head of HR regarding any Payroll issues if necessary

Other Duties: 

  • Ensure compliance of safeguarding and safer recruitment procedures at all times
  • Comply with all HR led policies and procedures at all times
  • Deal with all SMT and external queries via telephone, email and postal in a courteous manner
  • Continuously self develop and actively seek further development through the Head of HR
  • Be a proactive team member and assist in times of change/pressure with additional duties or ad hoc projects as such may be required
